Station placement
Put the station adjacent to the main coffee break area, not in a hallway. People will walk past a hallway. They will sit for a photo when they're already in line for coffee.
You need roughly a 10×10 area per station - enough for the backdrop, two strobes, the shooter, and a staging chair. A conference room with the tables pushed aside works perfectly.
Schedule integration
Three approaches, in order of effectiveness:
- Open queue during every break. Reps drop in during coffee, lunch, and end-of-day happy hours. ~60% utilization, zero scheduling work.
- Sign-up slots tied to manager-led sessions. Each sales leader gets a 30-min slot for their team. ~85% utilization, some scheduling work.
- Mandatory pre-assigned slots. 100% utilization, but it becomes an IT project. Only worth it for teams over 200.
Wardrobe guidelines (send these 2 weeks ahead)
- Solid colors - navy, charcoal, white work best. Avoid tight patterns and small prints.
- No logos or branded apparel (you want this photo to be reusable when they change roles).
- Minimal jewelry. No lanyards during the shoot.
- Hair product ready, touch-ups stationed next to the chair.
Delivery window
Raw selects within 48 hours. Retouched hi-res + LinkedIn crop within 7 business days. Individual private galleries per rep - they pick the one they like, you push the approved version to your HRIS.
Common SKO mistakes
- Using the hotel's in-house photographer for convenience - quality is inconsistent, and they don't do retouching
